Draft — have a lawyer review. This is a plain-language draft, not yet reviewed by a lawyer. Highlighted parts still need to be filled in.
Who we are
MapleFix ("we", "us") makes shop management software for auto repair shops in Canada. MapleFix is operated by FILL IN: the legal name of the business that runs MapleFix, FILL IN: mailing address. This policy explains what personal information we collect through this website and the MapleFix service, why, and what we do with it. We follow Canada's federal privacy law for businesses, the Personal Information Protection and Electronic Documents Act (PIPEDA).
Two kinds of information
- Information about you: the people who visit this website, request access, or use MapleFix as a shop owner or staff member. We are responsible for this information.
- Your shop's records: the customers, vehicles, photos, invoices and other records your shop keeps in MapleFix. Your shop controls these records and decides what goes in them; we keep and process them only to provide MapleFix to you.
What we collect
- When you request access: your shop's name, your name, email address, phone number, city, province, how many people work in the shop, your message and the plan you chose. To stop spam and abuse we also record the internet address and browser the request came from.
- When you use MapleFix: the names and email addresses of the people with sign-ins, their roles, and a record of their sign-ins (the device, internet address and time). PINs and passwords are stored only in a one-way scrambled form that can't be turned back into the original.
- Your shop's records: whatever your shop enters, such as customer names and contact details, vehicles, inspection photos and videos, invoices and payments, and payroll information. MapleFix does not store social insurance numbers.
- On this website: we don't use analytics, advertising or tracking cookies. Our server keeps short technical logs (such as internet addresses) to keep the service secure. The MapleFix app uses one cookie that is needed to keep you signed in.
How we use it
- To review your request for access and reply to you.
- To provide MapleFix: run your account, keep it secure, back it up, and help you when you ask for support.
- To arrange payment for your subscription.
- To send you messages about your account, such as invitations, password resets and important notices about the service.
We do not sell personal information, and we don't rent or trade it. We won't send you marketing emails unless you've agreed to receive them, and every marketing email will have a working unsubscribe link, as Canada's Anti-Spam Legislation (CASL) requires.
Where it's kept
MapleFix's servers are in Toronto, Canada. Backups are kept FILL IN: where the off-site backups are kept, for example DigitalOcean Spaces in Toronto. A few features send limited information to services outside Canada, only when you use them:
- Decoding a VIN sends the VIN alone to the US government's NHTSA vehicle database to look up the make, model and year. No customer information is sent.
- Reading receipts with AI, if your shop chooses to add its own Claude key, sends the receipt image to Anthropic in the United States.
- Emails your shop sends from MapleFix go out through the email provider your shop chose, such as Gmail or Microsoft 365.
Licence plate photos are read on MapleFix's own servers, aren't kept, and aren't sent to any outside service.
How long we keep it
- A request for access that doesn't become an account is deleted after FILL IN: for example 12 months.
- Your shop's records are kept while your subscription is active. After an account is closed we keep them for FILL IN: for example 90 days, so you can still download them, and then delete them. Backup copies are replaced on a rolling basis and are gone within FILL IN: for example 30 days after that.
- We keep our own billing records for as long as tax law requires.
How we protect it
All connections to MapleFix are encrypted (HTTPS). Each shop's data is kept in its own separate part of the database and can only be reached by signing in to that shop. Passwords and PINs are stored scrambled, sensitive settings such as email passwords are encrypted, staff see only what their role allows, and the system is backed up every night. If a breach of security creates a real risk of significant harm, we will notify the people affected and the Office of the Privacy Commissioner of Canada, as PIPEDA requires.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, and withdraw your consent to things that aren't needed to provide the service. Write to our privacy contact below. If you're not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada.
Your shop's customers
Your shop is responsible for the information it collects from its own customers, for having their consent, and for answering their privacy requests. We help: you can find, correct, export or delete a customer's records in MapleFix at any time.
Changes to this policy
When we change this policy we'll update the date below, and if a change matters to how we use your information, we'll email shop owners before it takes effect.
